Who we are

Electrical Pilot is a job management app for electrical contractors, built and operated by Electrical Pilot Ltd ("we", "us"), a company registered in England and Wales (company number 17406845), with its registered office at 3 Annie Senior Gardens, Bolton Upon Dearne, Rotherham, South Yorkshire, S63 8FL. Each contractor company that signs up (a "customer") uses Electrical Pilot to manage their own customers, jobs, quotes, invoices and certificates.

What we collect

When you sign up and use Electrical Pilot, we collect and store:

  • Your account details - name, email address, company name and password (handled by our authentication provider, Supabase).
  • Business data you enter or upload - customers, jobs, quotes, invoices, certificates, notes, calendar bookings, and job photos and videos.
  • Messages sent through the app - emails, text messages and WhatsApp messages you send to your customers (e.g. quotes, invoices, booking confirmations, reminders). If you use the AI phone assistant, we also store the caller's phone number and a text transcript of calls it answers on your behalf.
  • Payment information - processed directly by Stripe; we do not store card details ourselves.
  • Usage information needed to operate the app, such as login timestamps and error logs.

How we use it

We use this data to operate the app for you, including:

  • Running the core job management features (customers, jobs, quotes, invoices, certificates, calendar).
  • Sending quotes, invoices, booking confirmations and reminders by email, text message and WhatsApp on your behalf, to the customers you specify.
  • Processing payments through Stripe.
  • Powering optional AI features (e.g. drafting quote descriptions, reading board photos, transcribing voice notes, the voice and phone assistants, marketing content) - only the specific text, image or audio you submit for that feature is sent to our AI providers, not your wider account data.
  • Speech-to-text: audio you record for dictation or the voice assistant is sent to OpenAI to produce a text transcript. For the AI phone assistant, the caller's speech is transcribed by Twilio's speech recognition, and the resulting text may then be processed by OpenAI. Electrical Pilot does not keep any of this audio as a recording. Separately, if you record a video for a job report, that video is stored with the report and may contain the audio you recorded while filming.
  • Keeping the service secure and fixing problems.

Who we share it with

We share data only with the service providers needed to run the app:

  • Supabase - database, authentication and file storage.
  • Vercel - application hosting.
  • Stripe - payment processing (card details go directly to Stripe; we never receive them).
  • OpenAI - optional AI features, including transcription of voice notes and the voice assistant. Data sent to the OpenAI API is not used to train its models.
  • Twilio - sending text messages, and running the AI phone assistant (call handling and speech recognition).
  • Resend - delivering the emails you send through the app.
  • Ideal Postcodes - UK postcode-to-address lookup when you enter an address.
  • Google (Firebase Cloud Messaging) - delivering push notifications to your devices.
  • Meta - posting to your own Facebook Page or Instagram if you choose to connect them. Electrical Pilot does not use the WhatsApp Business Platform for customer messages; choosing WhatsApp opens a pre-filled message in your own WhatsApp app, where WhatsApp/Meta's own privacy terms apply.
  • Xero, QuickBooks or Sage - only if you choose to connect your own accounting software.

We do not sell your data or your customers' data to anyone.

Your customers' data

If you're a contractor using Electrical Pilot, you are responsible for having a lawful basis to store and message your own customers' details through the app. Their data is stored securely and is only ever used to deliver the messages, documents and bookings you create.

Data retention and deletion

We keep your data for as long as your account is active. If you'd like your account and its data deleted, email us at admin@electricalpilot.co.uk and we'll action it.
